Title:  Executive Assistant to Legal & Marketing

Due to an internal promotion, the role of EA to our Chief Legal Counsel and Marketing Director has arisen.  In this role, you will report to the Chief Legal Counsel and support both our Chief Legal Counsel and Marketing Director and their respective departments. This is an extremely varied role. As well as providing executive diary management, meeting & event coordination you will provide support to legal systems management and administrative activities for our business across Australia and New Zealand. 
Supporting two very different and important functions within our Head Office operation, you will enjoy both detail orientated work coupled with the creative flair of our Marketing Department, who deliver exciting campaigns for our iconic brands! 
This role is a part-time role working 4 days per week. 


More specifically the role will entail:

  • Provide first class executive assistance including complex inbox and diary management, meeting and events co-ordination, expense and travel management, processing expense returns
  • Assume the role of system expert and administrator for internal Legal systems and processes including our contracts database, contracts approval and signing process, marketing material review and approval system & process, legal document management system and online compliance training system
  • Assist with maintaining the Legal external budget, setting up external suppliers, raising PO’s and processing invoices  
  • Compliance training including the preparation of face-to-face training decks and other presentations as well as maintaining our employee database & assigning training modules to new users
  • Co-ordinate key Marketing events, team meetings, leadership team meetings and offsite workshops
  • Co-ordination of people management activities which includes on and off-boarding of employees, coordinating development review meetings & talent management processes   

We’re looking for someone who will be an integral part of our team, an administration super star who enjoys being in the cut & thrust of busy departments, who can juggle often competing tasks.  You will play an important role in the smooth running of these departments!  
We’re looking for the following skills & experience: 

  • Previous experience in an Executive Assistant role in a corporate environment providing support at Director or Partner level. Prior experience as a Legal EA would be highly regarded.
  • Experience in procedure and process management in a Legal function is essential
  • Advanced levels of Outlook, Microsoft office – Powerpoint and SharePoint applications
  • Strong planning and organisation skills with high level attention to detail
  • A proven ability as an office administrator as well as key skills in EA delivery
  • Excellent administration coordination, planning and organisation skills with proven ability to prioritise tasks and realign as pressures demand, sometimes at short notice
  • A good can-do attitude with a sense of fun and humour as well as someone who enjoys being a valued member of a team
  • A strong commitment to the values of Integrity, Respect, Accountability and Humility
